Issue

How can I schedule/book appointments (ex: Office Hours) in Zoom with Canvas?

Resolution

Zoom offers an "Appointments" feature called "LTI Easy Scheduler" that is accessible in the Zoom tab in a U-M Canvas course. This allows instructors to create appointment slots for which students can sign up and allows students to book appointments. The feature will alert both the student and instructor when the appointment is booked, create a Zoom link for the appointment, and make the appointment link available within the Appointments tab. Below are provided instructions on how to use this feature as an instructor and as a student.

Note: Appointment schedules are unique to the course in which they are created. You will need to create separate appointment schedules for each course.

Set Up Appointments

  1. Navigate to the Zoom tab for your course in U-M Canvas. Only individuals with a role that allows them to manage the Zoom tab for the course (i.e., Teacher, TA, Designer, or Admin) can do this

Note: If this is not already done, refer to Setting Up Zoom in Canvas.

  1. Select the Appointments tab near the Zoom icon at the top of the page (next to the Home tab)
  2. Click the Create Schedule button under the My Schedules tab
  3. A window will appear to build an appointment schedule. You can select the days of the week and times for each day
  4. Enter a name for your appointment block in the Event Name field. This will be viewable by students
  5. Click Create to save the appointment schedule

Once you have created an appointment schedule, it will appear as a tile under the My Schedules tab on the Appointments page. Selecting the edit button on the appointment schedule's tile will allow you to change your schedule as needed. You can also delete an appointment schedule from that tile.

View Booked Appointments

Once an appointment has been booked, instructors can view it and launch it from the Zoom integration in Canvas.

  1. Navigate to the Zoom tab for your course in U-M Canvas. Only individuals with a role that allows them to manage the Zoom tab for the course (i.e., Teacher, TA, Designer, or Admin) can do this

Note: If this is not already done, refer to Setting Up Zoom in Canvas.

  1. Select the Appointments tab near the Zoom icon at the top of the page (next to the Home tab)
  2. Select the Upcoming Events tab. If any appointments are booked, you can view and launch them here. The Name column shows the email address of the student who booked the appointment.
Note: These appointments are created as regular Zoom meetings under the account of the person who created the appointment schedule (not the student) and will therefore inherit the meeting settings of that account and make that person the host of the meeting. This means these appointments will also be visible to the owner when they check their account at zoom.umich.edu.

Book an Appointment (Student View)

  1. Navigate to the Zoom tab for your course in U-M Canvas (as a student)
  2. Select the Appointments tab near the Zoom icon at the top of the page (next to the Home tab)
  3. Select a tile under the Schedules tab to view the appointment schedule. (If no appointment schedules are available, no tiles will be visible)
  4. A calendar view with available times under available days will appear. Select a time frame for the day you would like to book
  5. A pop-up window will appear to confirm your booking. Select the Book button

You will receive an email confirming you have booked the appointment. To view booked appointments, select the Upcoming Events tab on the Appointments page. A list of appointments you have booked will be viewable. The Name column shows which course instructor is hosting your appointment. You can join the appointment from this page as well.

Note: This will only show appointments you have booked for this course. To view appointments for other courses, you need to navigate to that course in Canvas.
