Issue

How do I share a Dropbox file or folder?

Resolution

On the web

  1. Sign in to U-M Dropbox on the web.
  2. Hover over the file or folder you’d like to share:
    • In list view, click the share icon Sharing icon
    • In grid view, click Share
  3. Enter the email address or name of the person or group with whom you’d like to share in the field provided, and click to select them from the results.
    • You can add as many people as you’d like.
    • When sharing with an MCommunity group, you must use the group name and not the email address. It must auto-complete the contact card for the sharing to work.
  4. Select Can edit or Can view if available. (Some files/folders don't allow for edit access sharing.)
  5. Add a note if you’d like in the field provided.
  6. Click Share file or Share folder.

The person or group will receive an email with a link to the file or folder.

On the desktop application/client

  1. Open the Dropbox folder in File Explorer (Windows) or Finder (Mac).
  2. Right-click or command-click the file or folder you’d like to share.
  3. Select Share…
    • You may need to hover over Dropbox in the drop-down menu after right-clicking to find Share...
  4. Enter the email address or name of the person or group with whom you’d like to share in the field provided, and click to select them from the results.
    • You can add as many people as you’d like.
    • When sharing with an MCommunity group, you must use the group name and not the email address. It must auto-complete the contact card for the sharing to work.
  5. Select Can edit or Can view if available. (Some files/folders don't allow for edit access sharing.)
  6. Add a note if you’d like in the field provided.
  7. Click Share.

The person or group will receive an email with a link to the file or folder.

On the mobile app

Refer to the Dropbox Help Center to learn how to share files and folders using the Dropbox mobile app.

Note: The shared folder icon will only display for subfolders if there are additional users shared on the folder beyond the ones whose permissions cascade from the parent folder. Otherwise, the folder icon will be plain, with no image.

Additional Information

The "Anyone with the Link" setting cannot be found alone by Google (or other search engines) / Dropbox unless shared publicly. These links can only be accessed using the provided link.
