Control Who Can View Your Zoom Cloud Recordings

Issue

  • How can I control who can view my Zoom cloud recording?
  • How can I prevent people from outside of U-M ("external users") from viewing my Zoom cloud recordings?

Resolution

  • Who has access to view a Zoom cloud recording using the sharing link is controlled by the Share this recording option in the recording's sharing settings
    • If Share this recording is toggled OFF, only the host can access the recording
    • If Share this recording is toggled ON, you can choose from multiple options of who is able to access the recording using the sharing link
      • Publicly = Anyone with the link can access the recording and is not required to log in to Zoom to view it
      • Only authenticated users can view > University of Michigan Users = Anyone with the link will be required to log in to Zoom with their U-M Zoom account to view it
      • Only authenticated users can view > Signed-in users in my account = The same as "University of Michigan" users
    • This setting also controls whether students can view Zoom recordings made available in the Zoom-Canvas and Zoom-Blackboard integrations
  • Share this recording is defaulted to ON with the setting to share the recording with Only authenticated users can view > University of Michigan Users for all U-M Zoom cloud recordings (i.e. default behavior is that viewers must log in to Zoom with their U-M Zoom account to view recordings)
    • Hosts have the option to turn it OFF on a recording-by-recording basis to prevent anyone but the host from accessing the recording
    • Hosts have the option to change to Publicly on a recording-by-recording basis to allow anyone with the link to view the recording without signing in to Zoom

  • To adjust the Share this recording setting, follow these steps:
    • Navigate to https://umich.zoom.us/recording
    • Click Share... next to the recording you want to adjust
    • Adjust the toggle next to Share this recording
      • ON (blue) = Anyone with the link can access the recording and is not required to log in to Zoom to view it
      • OFF (gray) = Only the host can view the recording
    • Adjust the radio buttons below Share this recording if it is turned on​​​​​​​
      • Publicly = Anyone with the link can access the recording and is not required to log in to Zoom to view it
      • Only authenticated users can view > University of Michigan Users = Anyone with the link will be required to log in to Zoom with an email ending in umich.edu in order to view the recording
      • Click Save, if applicable (Save only appears if changes are made to the radio buttons below Share this recording)
    • Click Done
