Google Account Recreation and Existing Shares/Access (Given Prior to Deletion)

Issue

After a user's U-M Google account is deleted and recreated, the Drive files/folders, Calendar events, Chat spaces, etc., they were previously shared on will not automatically be shared back with them. This means they no longer have access to anything they were shared on before account deletion. What should they do?

Resolution

After a user's U-M Google account is deleted and recreated, they will no longer have access to anything they were shared on across all Google services (e.g., Drive, Calendar, Chat, etc.).

What this means

Note: This list is not exhaustive, as there are many services that encompass Google Workspace. Below are the most common places they will notice it.

  • If they were shared on any files/folders/shared drives in Google Drive, they would no longer have access to those items.
    • This includes any Google Sites they may have been shared on.
  • If they were invited to any Google Calendar events, they would no longer have access to the events in their calendar.
  • If they were shared on any Google Calendar calendars (e.g., resource calendars), they would no longer have access to those calendars.
  • If they were a member of any Google Chat spaces, they would no longer have access to those spaces.
  • If they were a member of any Google Chat group conversations, they would no longer have access to those group conversations.
  • If they were shared on any photos/videos in Google Photos, they would no longer have access to those items.
  • If they were connected via Partner Sharing in Google Photos, they would no longer be connected.
  • If they were assigned as a co-host for a Google Meet session, they would no longer be assigned as a co-host.
  • If they were invited to a Google Meet session as a participant, they would no longer have access to the session.
  • If they were assigned as a delegate in Gmail, they would no longer be assigned as a delegate.
  • Anything shared with them via an MCommunity group of which they are a member/owner will no longer be shared. (Refer to Article ID: 10888 for more information.)
  • Anything shared with them via Google Additional Services, such as YouTube, Maps, or Scholar, will no longer be shared.

How to fix

  • In Google Drive:
    • The owner or an Editor of a file/folder needs to re-share the file/folder with them.
      • Same applies for a Google Site.
    • The Manager of a shared drive needs to add them back as a member.
  • In Google Calendar:
    • Depending on the calendar event's permissions, either the event creator or a guest (invited to the event) needs to re-invite them.
    • The calendar owner or someone with "Make changes & manage sharing" access needs to re-share the calendar with them.
  • In Gmail:
    • A delegate for an account needs to re-assign them as a delegate.
  • In Google Photos:
    • The partner needs to re-enable Partner Sharing with them.
    • The owner of a photo/video needs to re-share the photo/video with them.
  • In Google Chat:
    • A Space Manager needs to invite them back to the Chat space.
    • A member of a group conversation needs to add them back to the conversation.
  • In Google Meet:
    • A host/co-host needs to add them back as a co-host.
    • A host/co-host needs to invite them again to the session.
