Issue

Resolution

Google Template Gallery provides Docs, Sheets, Slides, Forms, and Sites templates for use by anyone at the University of Michigan with a Google account. There are several Google-created templates, as well as legacy templates created and uploaded by U-M Google accounts for use by everyone. Refer to Create a file from a template to learn more.

As of August 22, 2023, U-M Google accounts can no longer upload custom templates to the Template Gallery. Previously added templates will remain for now.

  • Moving forward, we strongly urge you to create a view-only version of the Doc/Sheet/Slides/Forms/Sites template and store it in a Google shared drive for use by your team or others to whom you give access.
  • Individuals you give access to can then copy the template file as needed.
  • This approach also makes it easier for you to manage these templates and limit access to just those you want rather than the entire university community.

Important things to note for previously added templates you created

  • If you did not choose to submit a copy of the file instead of the original when adding it to the template gallery:
    • Any changes you (or other Editors) make to the original file will be reflected in the Template Gallery and viewable by everyone in U-M Google.
    • Deleting the original file will also delete it from the Template Gallery.
    • Renaming the original file will also rename it in the Template Gallery.
    • If the original file is stored within a Google shared drive, the template can only be removed from the Template Gallery by any Manager of the shared drive or by deleting the original file from the shared drive.
  • You can tell if you chose the copy option when you open the original file - you will notice an "In Template Gallery" icon at the top of the file if the template wasn't made via copy.
  • Only the individual who uploaded the template to the Gallery can remove it and change its category (unless it's the original file and stored in a shared drive).
