How to Create a Category

This article will show you step-by-step how to create a folder, or “Category” in the TeamDynamix Knowledge Base.

On the main home page for the Knowledge Base, there is a root directory of “Categories” or folders for various teams within the SSC.

Creating a Folder

To create a general folder for your team that will show up on the main Knowledge Base home page:

1. Click + New Category on the right-hand side of your screen.

 

2. A pop-up window will appear.

 

3. Type in the name of your team, or the title of your folder in the Name section.

 

4. If you would like the folder to appear on the Main Knowledge Base Homepage, you can ignore the Parent Category section.

5. The Order section refers to the listed ordering of the folders on the screen. By default, the oldest folders will appear at the top, and new folders at the bottom, and you should leave this number as is. 

 

6. The Description section is optional, and usually unnecessary so long as your folder has an intuitive name. If you do add a description, it will appear on the main page underneath your Category.

7. You can use the Change Icon button to set an icon that will appear on the right-hand side of your folder name.

 

8. You can also set the Icon Color in the corresponding section below by typing in a color name. It will end up looking something like this:

 

9. Click Save.

 

Creating a Sub-Folder

► Tip: You can create as many nested subfolders as you would like. If your team already has pre-existing divisions in the department, or many articles of the same type, or multiple articles relating to the same process or subject, it can be a good idea to create a subfolder to make your team’s folder easier to use and navigate.

 

To create a subfolder within your existing team folder:

1. Navigate to your team’s folder.

2. Click + New Category on the right-hand side of your screen.

 

3.  A pop-up window will appear.

 

4. Type in the title of your subfolder in the Name section.

 

5. The Parent Category will auto-populate with the Category that you were in when you clicked + New Category. Double-check that this information is correct and that you are working within the intended folder. If you need to change it, click the “magnifying glass” search icon on the right and type the correct Parent Category name.

 

6. The Order section refers to the listed ordering of the folders on the screen. By default, the oldest folders will appear at the top, and new folders will show up at the bottom. If this is your team’s folder, feel free to customize the subfolder ordering as you would like. If you would like a specific alternative ordering for the subfolders, alter the numbering (1 refers to the first article listed, 2 for the second, and so on).

 

7. The Description section is optional. If you add a description, it will appear underneath your subfolder name.

 

8. You can use the Change Icon button to set an icon that will appear on the right-hand side of your folder name.

 

9. You can also set the Icon Color in the corresponding section below by typing in a color name. It will end up looking something like this:

 

► Alert: By default, your subfolder will inherit the same viewing permissions as its parent folder. To change this, follow the steps in the "Viewing Permissions" section of this article.

 

10. Click Save.

 

View Permissions

By default, a category will be set to Public, meaning that it is publicly viewable. To change this, so that only logged-in users can view your folder and the articles within, you have to set the Permissions to Not Public. To do so:

1. Navigate to your newly created Category. Click the “edit” pencil icon in the upper-right corner.

 

2. A pop-up window will appear. 

 

3. Click on the Permissions header.

 

4. By default, a Category and all of its contents inherit permissions setting from its Parent Category, which in this case, is the main KB homepage, which is Public.  

5. Un-check the Inherit Permissions checkbox.

 

6. Doing so will cause new options to appear below. If you would like the Category to only be visible to logged-in TDx users, un-check the Public box.

 

7. Optional: If you would like to further customize the viewing permissions of the folder, you can do so under Category Permissions. For instance, if you wanted your team folder to only be viewable by users on your team, you could select Allow ONLY the associate groups below to view this category, and add the corresponding members of your team or group account to the Add Groups section. By default, all logged-in users can view it.
