U-M Zoom Rooms, cloud recordings, AI summaries
Issue
I hosted a Zoom meeting in a U-M Zoom Room and recorded it and/or used Zoom AI to record a summary of the meeting. However, when I visit the recording link Zoom sent me, I'm prevented from downloading the recording. When I try to access the summary, the meeting is not found.
Resolution
When you host and record a Zoom meeting to the cloud while using a U-M Zoom Room, it may inadvertently be hosted by the Zoom Room's personal meeting ID. When this happens, you will be unable to download the recording from the link Zoom sends you.
Additionally, AI summaries are not available for meetings started via the Zoom Room controller. If you click the AI summary option, you will be prompted to enter your email address, but the link you receive will not work. AI summaries can only be accessed from meetings that you host directly from your own Zoom account.
To ensure that you remain the host and that recordings and summaries are attached to your personal U-M Zoom account (instead of the Zoom Room's), follow the steps below:
- Follow the guidance provided in the article, Add the U-M Zoom Rooms Enabled Conference Room to a Calendar Meeting, when adding a U-M Zoom Room to your meeting.
- Start the meeting through the proper channel as outlined in the above article to ensure you maintain access to download the cloud recording (if recording is necessary).
- Avoid using the New Meeting button on the Zoom Room's touch panel controller to start the meeting if you plan to record it.
- If you press Record during your meeting and the Zoom Room's touch panel prompts you to input an email address, this means that the Zoom Room is the only meeting host, and you are recording to the Room's cloud.
- If you proceed this way, you will not have access to download the recording. You can view the recording, but the Zoom Room owns it, not you.
