How Faculty and Staff Can Fax Documents

How can faculty & staff fax a document using MPrint?

Resolution

Whether you are located on campus or working remotely, faculty & staff can fax a document using an MPrint-supported Xerox Multifunction printer that is set up with a fax line. Your options are different depending on whether you are using a Mac or Windows device.

First, if you have not already done so, you will need to install the printer you wish to use.

Important! 
  • Mac Users: You must install the dedicated “fax” version of your desired printer to fax a document. If you do not see one, please contact the ITS Service Center for assistance.

  • Windows Users: You can install either the standard or "fax" version of your desired printer. See the applicable instructions below.

  • Fax to External Number: If you are faxing to an external (non-campus) number, you will need to dial 9 + 1 + area code and phone number.

  • Working Remotely: You must connect to UMVPN if you are working remotely.

Windows and Mac - Use Dedicated “Fax” Printer Queue 

Microsoft Word is used to demonstrate the following instructions. The process should be similar to other applications. After clicking File > Print, complete the following steps for either Windows or Mac.

Windows

  1. Select the dedicated fax printer queue.
  2. Click Print.
  3. A Fax window displays, allowing you to add recipients or select them from your address book, edit the cover sheet, and customize additional options.  When finished, click OK to send the fax.

Mac

  1. Select the dedicated fax printer queue.
  2. Select Xerox Features.
  3. Select Fax from the Job Type drop-down menu.
  4. Click the ellipses button next to Job Type.
  5. A Fax window displays, allowing you to add recipients, edit the cover sheet, and customize additional options.  Click OK when finished.
  6. Click Print to send the fax.

Windows - Use Standard (Non-fax) Printer Queue

You can send a fax using a standard print queue by changing the print Job Type on a Windows device. The required steps are different depending on whether you’re using Microsoft Word or Google Docs.

Microsoft Word

  1. Click File > Print.
  2. Select a standard (non-fax) printer, and then click Printer Properties.
  3. On the Printing Options tab, select Fax from the Job Type drop-down menu.
  4. A Fax window displays, allowing you to add recipients or select them from your address book, edit the cover sheet, and customize additional options.  When finished, click OK.
  5. Click OK in the Printer Properties window.
  6. Click Print to send the fax.

Google Docs

  1. Use the keyboard shortcut Ctrl + Shift +P.
  2. Select a standard (non-fax) printer, and then click Preferences.
  3. Select Fax from the Job Type drop-down menu, and then click OK.
  4. A Fax window displays, allowing you to add recipients or select them from your address book, edit the cover sheet, and customize additional options.  When finished, click OK.
  5. Click OK in the Printer Preferences window
  6. Click Print to send the fax.
