Issue

How to find documents in the web version of Document Imaging (also called Perceptive Experience)

Resolution

Key points to keep in mind when creating a search in Perceptive Experience:

  • Check which Document View you are using
    • The View name will appear at the top next to Documents
      • Example: Documents > All Documents or Documents > Accounts Payable Voucher
      • In these examples, All Documents or Accounts Payable Voucher is the View
      • If your search isn't finding any results or the results are not what you expect, select the correct view from the list of views available to you on the left side of the screen
  • The recommended fields to search by are: Created, Created by, Created within (days), Drawer, Field 1, Field 2, Field 3, Field 4, Field 5, Is in workflow, Last viewed, Last viewed by, Modified, Modified by, Type and Workflow queue
    • Fields 1-5 may be labeled differently depending on the view that was selected
    • Please note that Fields 1-5 always appear in the drop-down after the "Drawer" field regardless of alphabetical order
    • The system defaults to "Name" as the search field.
      • Please note that this "Name" field is the Document's Name
      • Make sure to update this by selecting a different field for your search
      • If you wish to search by Name, (student name or employee name) select the "Name" option that appears in the list in one of the 5 fields after the Drawer field
  • Searches are not case-sensitive
  • To edit a constraint, select the constraint and update the necessary parameters
  • Constraints that have not yet been applied to your search are outlined with a dashed border
    • Click the Search box to run the constraint and return a new list of results
