Document Imaging: Determine What Roles to Request in OARS?

Issue

How do I figure out what roles to request in the Document Imaging system? 

Resolution

The Document Imaging system roles have been standardized to help users determine what access they need and also help data owners easily determine who has access to their documents. The majority of the roles are based on a single drawer in the system. The role name follows a naming convention of "Drawer name" + level of access. There are 3 levels of access: 

  1. View: provides only viewing rights to the documents within the drawer
  2. User: provides the ability to view, add and update documents within the drawer
  3. Admin: provides the ability to view, add, update and delete documents within the drawer

As an example, if the drawer that you need access to is called ITS TECHNOLOGY and you only need to view documents, the role you would request in OARS is ITS TECHNOLOGY View. Users only need ONE role per drawer, so if you determine later you need the User level of access for ITS TECHNOLOGY drawer, you can submit a request to remove ITS TECHNOLOGY View and add ITS TECHNOLOGY User as both would not be needed. 

OARS tip: Due to the large number of roles in OARS, use the search box located in the "Add/Remove Roles" section of the OARS request and type in the drawer name. Any roles associated with the drawer will appear for you to be able to select the appropriate one. 

Please note that User and Admin levels of access for some drawers are limited to certain groups of people and access may not be granted.  We recommend reading the role description (found in OARS by clicking on the role name) to determine if the role seems appropriate for what you need.  Please remember to state your business need in the comments box of your OARS request which will assist in the approval process. 

If you do not know the name of the drawer you need access to, describe the type of documents you need to be able to view, add or update in a ticket to the ITS Service Center and the Document Imaging BSAs (Business Systems Analysts) will be happy to assist.  

In addition to drawer access, some users may need access to workflows in the system.  If you are unable to determine which workflow role you need by reviewing the access of a colleague, please submit a ticket.
