How to delete PAR transactions

Resolution

There are three situations for which assistance may be required to delete PAR transactions:

  • When a transaction has been abandoned prior to its full completion and submission for approval
  • When a transaction has been Denied
  • When a transaction was fully created/approved/loaded but should not have been

1. Transaction Abandoned:

The abandoned transaction typically appears in Find PAR with a Transaction Status of (blank) and Action Date of (blank).

When clicking that row, in Find PAR, this message appears: "This transaction was not canceled with the Delete Transaction button (28000,312). It will be removed with an overnight process."

There is no need for anything to be deleted in this scenario.  Anyone can create a new transaction from start to finish, and the abandoned transaction will be gone the next morning.

2. Transaction Denied:

When a PAR transaction has been submitted for approval but was then Denied, it blocks the path to create a new transaction.

Attempting to create a new transaction will cause the message, "There is a pending transaction for this EmplID. (28000,268) This transaction cannot be created until the pending transaction is processed."

There are three methods by which to correct this situation:

  • The Creator of the transaction corrects and resubmits for approval.
    2. The Creator uses the yellow "Delete Transaction" button and fully deletes the transaction.
    3. A Shared Services Center (SSC) team member uses the yellow "Delete Transaction" button and fully deletes the transaction.

*NOTE: ITS does not have the access/security required to delete a transaction.  Access, aside from the Creator, is only assigned to those with the HR SSC HR APPROVER role (SSC staff) or HR IS WRKFLOW APPROVER role (Integration Specialists at Wolverine Tower).

3. Approved Transaction to be "Deleted":

It is not advised to delete a transaction that has been fully approved and loaded to the system, as this removes the transaction, but does not reverse whatever was put into place via the transaction (eliminates the trail, but does not alter the end result).

You can contact the Shared Services Center for directions on how to reverse the steps while maintaining the integrity of the data flow.

The Shared Services Center can be reached at 734-615-2000 or sharedservices@umich.edu .
