U-M Google Drive
Issue
Your Google Docs show “shared externally” warnings, even when no intentional external sharing has occurred.
Resolution
1. Check Document Sharing Settings.
- Open your document and click Share.
- Review everyone listed under “People with access.”
- Look for:
- Non-@umich.edu email addresses (e.g., gmail.com).
- Groups/lists that might include external members.
2. Review Link Sharing Options.
- In the Share settings, see if the link is set as “Anyone with the link” or “University of Michigan.”
- Set link sharing to “Restricted” where possible for sensitive files.
3. Remove or Update Permissions.
- Delete any external users or groups that should no longer have access.
- Regularly review your Google Drive’s Shared with me and Shared drives folders.
