Google Drive Says “Shared Externally” When They Aren’t?

Issue

Your Google Docs show “shared externally” warnings, even when no intentional external sharing has occurred. 

Resolution

1. Check Document Sharing Settings.

  1. Open your document and click Share.
  2. Review everyone listed under “People with access.”
  3. Look for:
    1. Non-@umich.edu email addresses (e.g., gmail.com).
    2. Groups/lists that might include external members.

2. Review Link Sharing Options.

  1. In the Share settings, see if the link is set as “Anyone with the link” or “University of Michigan.”
  2. Set link sharing to “Restricted” where possible for sensitive files.

3. Remove or Update Permissions.

  1. Delete any external users or groups that should no longer have access.
  2. Regularly review your Google Drive’s Shared with me and Shared drives folders.
