Document Imaging System / Hyland Virtual Printer
Issue
When I use the Hyland Virtual Printer, it only prints in black & white, and I need it to print in color.
How do I capture/upload documents to the ITS Document Imaging System in color?
Resolution
Effective March 1, 2025, the MiWorkspace Software Center has the Hyland Virtual Printer set to print in color. If you installed the printer prior to March 1, 2025 and now realize that you need the color option, simply uninstall and then reinstall the Hyland Virtual Printer from the Software Center.
For users who are not supported by MiWorkspace, you will need to follow the steps below.
Note: You need administrator rights on your computer to make the changes listed below. For most people, this means getting help from MiWorkspace support staff or your local unit IT staff.
- Close the Document Imaging System
- Locate the application called Notepad or Notepad ++ on the computer
- Right-click on Notepad and select Run as administrator (A user account screen will appear. You will need to put in your password.)
- Click Yes when prompted to run as administrator
- Select the File menu item and choose Open from the drop-down
- Navigate to this location: C:\Program Files (x86)\Hyland\Hyland Virtual Printer
At the bottom of the window, in the box to the right of the File name, select "All Files (*.*)" from the drop-down list
Double-click on the only file in the folder which is called hvpprint.ini
- Make the following two changes to the file:
- In the top section called "Graphics settings", remove the * which appears immediately before [Devmode settings]
- Further down in the file, in the section called "Save settings", change where it says Color reduction=BW to Color reduction=color. If Color reduction=BW is not present in hvpprint.ini, you will need to add Color reduction=color under the [Save] section of the file. It does not need to be on any specific line under [Save].
- Save the changes and close the file
Additional Information
The application you are printing from (Chrome, Adobe Reader, etc) should also be set to print in color.
Note: If this error appears when saving the changes to the hvpprint.ini file: C:\Program Files (x86)\Hyland\Hyland Virtual Printer You do not have permissions to open the file. See the owner of the file or an administrator to obtain permission, check the Security Properties on the Hyland folder.
- To do this, navigate to C:\Program Files (x86), right-click on the folder called Hyland and select Properties
- Select the Security tab
- In the Group or user names box, select the entry for Administrators
- In the Permissions for Administrators box, verify everything except for Special permissions are selected (a checkbox should show next to all items)
- If anything needs updated, click Edit and make the appropriate selection
- Attempt to modify the hvpprint.ini file again and see if error still occurs
- If error occurs again, repeat these steps but this time, instead of selecting Administrators, select Users
- Ensure Modify is selected
- Update if needed and then attempt to modify the hvpprint.ini file again
- Once you are able to successfully modify the file, revert any changes made to the Security Properties on the Hyland folder
