What are the different license types available to U-M Zoom accounts? How do I request one?

Resolution

Standard U-M Zoom meetings support up to 300 participants. Add-on licenses cover larger meetings, webinars, and similar needs. Refer to the information in this article and to the U-M Zoom Meetings vs. webinars comparison page for more details.

For all licenses listed below, the person who owns the Zoom meeting/webinar (i.e., it exists in their Zoom account) must apply for the license.

Webinar licenses

  • A webinar license is required to schedule a webinar in Zoom.
  • There are two types of webinar licenses available for U-M Zoom accounts, based on the anticipated maximum number of attendees: 1,000 (1k) or 10,000 (10k).
    • 1k webinar licenses are automatically applied after the request and must be renewed annually using the license tool.
    • 10k webinar licenses require approval and are granted in one-week increments. These licenses are extremely limited, and availability is subject to demand.
      • Requires you to request a Webinar 1k license first.
      • If an extension or reschedule is needed, submit a new request using the ITS Zoom License Manager tool.
      • After your Webinar 10k license is applied, your existing Webinar 1k license is removed. After this license expires, a Webinar 1k license will be automatically reapplied to your account.
  • The same features are available in webinars with both licenses. The only difference is the number of attendees allowed.
  • Zoom Events and Webinars Plus licenses are not available in U-M Zoom.

Large meeting licenses

  • The standard participant cap for a Zoom meeting is 300 participants. There are licenses available to increase that maximum to either 500 or 1,000.
  • These licenses are intended for use by large classes. However, depending on license availability, you may be able to use a large meeting license for an event.
  • Faculty with large class sizes take priority over other requests for these licenses.
  • Both large meeting licenses (500 and 1k) require approval. They are issued for one academic term for classes or one week, aligned with your event.
    • If an extension or reschedule is needed, submit a new request using the ITS Zoom License Manager tool.
  • These licenses do not come with any additional features and function just like any other Zoom meeting. Refer to Zoom Support for best practices when hosting large meetings.

Translated captioning licenses

  • Zoom offers a feature that allows participants to view translated captions during a meeting.
    • It is not available for webinars or for translating between language dialects (e.g., French (France) to French (Canada).
  • This requires the meeting host/owner to enable the translated captions feature, which requires an additional license.
  • This license is best for accounts hosting meetings with multilingual participants who would benefit from captions that translate the spoken language into their chosen language.
  • The licenses for translated captions are automatically applied upon request.
  • These licenses are extremely limited, and availability is subject to demand. They are generally issued for up to one academic term with the option to renew but are demand-dependent.
  • These licenses do not come with any additional features beyond translated captioning.
  • Refer to Zoom: Request a Translated Captions License for instructions.
    • You should not request this license type if you do not have an active academic/business need for it. Doing so prevents others with active needs from accessing the license.
Note: If you have a translated captions license and are using the feature in a meeting being recorded to the cloud, the generated closed captions and audio transcript for the cloud recording will not be translated. To save a fully translated transcript, the host should manually save the meeting transcript before the meeting ends. (It will not be accessible after the meeting ends if not saved.)
