How to Bulk-Upload Data Into TrackMaster

Summary

If you have many records to add to TrackMaster (e.g. your team's contact list or a list of consultations), it is easier to use the Bulk Upload feature. This allows you to upload pre-formatted spreadsheets.

 

Steps

Prepare the data

  1. Open TrackMaster and navigate to Collaboration Tools -> Bulk Uploads and Automations

  2. Scroll down to Data Import Templates
     
  3. Click the . . . next to the appropriate template, and click Download to make a copy in your computer

  4. Go to the Downloads folder in your computer, and rename the file you just downloaded to something descriptive (e.g. "MTCs contact lists 2024.xlsx")

  5. Open the file in Excel
     
  6. Fill in the template. You can copy & paste from other files or apps. Hovering over a column heading gives you tips on what fields are required and any special constraints

  7. Delete (not hide) the columns that you don't need or that are not relevant. Just pay attention to which columns are required
     
  8. Save your file and close Excel

 

Upload

  1. Open TrackMaster and navigate to Collaboration Tools -> Bulk Uploads and Automations
  2. Scroll down to List of Automations Available

  3. Click the appropriate button to open the upload form

  4. Depending on the form you selected, you may have the option to either enter a list of UniqNames, or upload a file. If you prepared a file in the previous steps, leave the list blank and attach your file instead
     
  5. Some forms may ask for a Default Contact Type. This is used in case a new contact needs to be created, and the contact type is not specified in the file
     
  6. You must check the Confirm box to proceed, or the automation will fail

  7. Click Submit

Verify

  1. After submitting, you can go back to the Bulk Uploads and Automations page and refresh. Here you can see when you request changes to a different status:
    1. Submitted - File was uploaded but it has not yet been processed
    2. Running - The automation is running and processing your file right now
    3. Finished - The automation finished successfully
    4. Cancelled - The automation failed or was manually cancelled

  2. When the automation finishes, you will also receive an email notifying you of the final status (Finished or Cancelled)

  3. In TrackMaster, go to the list to which you uploaded (e.g. People List) and refresh the page
     
  4. Verify your data is there and that everything looks accurate
