Zoom: Host and Co-Host Meeting Controls

Environment

U-M Zoom

Issue

  • What controls/tools do hosts and co-hosts have during a Zoom meeting?
  • What is the Host tools button at the bottom of my toolbar during a meeting?

Resolution

  • The Host tools button in your bottom toolbar during a Zoom meeting allows you, as the host, to control various aspects of the meeting.
    • If you are screen sharing, the host tools will be at the top of your screen.
    • Refer to Zoom Support for the complete list of available host controls. (Not all controls listed will be accessible to U-M Zoom accounts, such as Docs and Whiteboard capabilities.)
  • The co-host feature allows the host to share hosting privileges with another participant, enabling the co-host to handle administrative tasks, such as managing participants or starting/stopping the recording.
    • Co-hosts can’t start meetings scheduled by the host. If you need someone else to have permission to start your meeting, you can designate an alternative host prior to the meeting.
  • The host must assign the co-host.
    • You can’t assign a co-host ahead of time. The host must promote a participant to co-host during the meeting.
    • Co-hosts can be external (non-UM) Zoom accounts.
  • There is no limitation on the number of co-hosts you can have in a meeting or webinar.
  • For the host to leave the meeting, a co-host must be assigned. Otherwise, the meeting will end.
    • After a co-host is assigned and the host leaves, the co-host will gain access to the host tools.

Co-hosts do not have access to the following controls, as they are only available to the primary host:

  • Start closed captioning and assign someone or a third party to provide closed captioning
  • Start live streaming
  • End the meeting for all participants
  • Make another participant a co-host
  • Start the waiting room
    • Co-hosts can place participants in the waiting room or admit or remove them from it. They just cannot start one.
  • Manually register or approve participant registrations
