Mandatory Email Lists
For the purposes of important university communications, ITS provides a number of mandatory email lists. These lists are assembled from central identity data to target specific populations of users and no exceptions are granted to them by ITS, in order to maintain their integrity. This document will detail some information about how these lists are assembled. What are these affiliations?
Affiliations are roles users have in MCommunity based on their identification data from various sources. All roles are at least semi-automated and not assigned manually by university personnel. We will only cover the Flint-specific roles, but other roles do exist for other campuses. Users may have combinations of several of these roles, depending on their admissions and appointments.
- StudentFLNT
- This role is populated by term data and fed nightly from Banner to MCommunity. It essentially represents that the student is a currently admitted student to the Flint campus.
- EnrolledStudentFLNT
- This role is populated by registration data fed nightly from Banner to MCommunity. It represents any student who is enrolled in a class either in the current term, or the next term if there is no current term. Under normal circumstances, it should be impossible to have this role but not StudentFLNT.
- TemporaryStaffFLNT
- This role is populated by a feed from the university HR system. It represents any users with a current staff appointment marked temporary with a status of active, suspended, short-work break, leave, or paid leave.
- RegularStaffFLNT
- This role is populated by a feed from the university HR system. It represents any users with a current staff appointment marked regular with a status of active, suspended, short-work break, leave, or paid leave.
- FacultyFLNT
- This role is populated by a feed from the university HR system. It represents any users with a current faculty appointment with a status of active, suspended, short-work break, leave, or paid leave.
- SponsoredAffiliateFLNT
- This role is directly populated by a sponsorship administrator entering a sponsorship for a specified user. For the Flint campus, Flint Human Resources are the sponsorship authorities for all departments.
- AlumniFLNT
- This role is populated from DART based on alumni data. It is not a reliable role, as there is an order of precedence between the three campuses' alumni status, so only one will display.
What lists are available?
Currently, ITS provides the following lists:
- allusers@notify.umflint.edu
- All users with any of the above-mentioned affiliations ending in FLNT.
- allemployees@notify.umflint.edu
- All users with TemporaryStaffFLNT, RegularStaffFLNT, FacultyFLNT, or SponsoredAffiliateFLNT
- allstudents@notify.umflint.edu
- All users with StudentFLNT
- enrolledstudents@notify.umflint.edu
- All users with EnrolledStudentFLNT
- staff@notify.umflint.edu
- All users with RegularStaffFLNT
- temporarystaff@notify.umflint.edu
- All users with TemporaryStaffFLNT
- faculty@notify.umflint.edu
- All users with FacultyFLNT
- sponsoredaffiliates@notify.umflint.edu
- All users with SponsoredAffiliateFLNT
How often are these lists updated?
List populations are regenerated nightly.
Using mandatory lists in external services such as MailChimp
For some university purposes, ITS provides file exports of mandatory lists to use for services such as MailChimp. These are housed on Google Drive in the "UM-Flint | Mailchimp Lists" drive. These files are direct copies of the file used to populate their respective @notify.umflint.edu list, so there will be no variation.
The currently provided exports are:
- allemployees
- faculty
- staff
- temporarystaff
