Make a copy of the Admin Hosting Order Template and save it as your own (this is prompted when you click on the template link in the eForm).
Rename the template to reflect your team, restaurant and the date the order is needed. – Example: ACS Chelas 11.30.25 Hosting Order.
There are pre-populated tabs for if you are ordering boxed lunches from Grand Traverse Pie Co., Panera, Jimmy Johns, DiBella’s and Zingermans. If the restaurant is not listed on a tab, please use the “General Order” tab.

Step 1: Enter the event and delivery details
These are the orange cells at the top of the template. Complete the following fields, their description/instructions are below -do not leave any of them blank:
- Name: Enter the name of the person responsible for the order.
- Event Purpose: State the business purpose.
- Date of Event: Specify the date the event will take place.
- Delivery Location: Indicate the building, room, or location where the order will be delivered.
- Delivery Time: Specify the desired delivery time.
- On site Contact: List the person who will be on site and signing for the order.
- On site Contact #: Provide a phone number for the on site contact.
Step 2: Menu Selection
Each person ordering will have their own row – which will need their uniqname, employee full name, and order selection. Complete all fields using the drop down (if applicable) or copy and pasting from the boxed lunch options. Available options are listed next to the event details for ease of ordering. Modifications to orders are allowed with the exception for Grand Traverse Pie Co.
- Details on what’s included in the boxed lunch, price range and link to the website with detailed description of the options available can be found under the event details section. Add rows to the template if there are not enough rows for the entire order.
Step 3: Verify, Download and Add to Ticket Request
Verify the event details and review the order ensuring that all orders are entered and completed. Download the template as a Microsoft Excel (.xlsx) file and upload to the ticket request.
Ordering Hosting Using the General Order Tab
The General Order tab is intended for catering requests that do not fall under standard boxed lunches, boxed lunches not specifically listed on another tab, or buffet/family-style meal orders. Please choose a vendor that is listed as a preferred vendor, a list can be found here: Approved Food Suppliers

When placing individualized orders using the “General Order” tab, each attendee ordering will have their own row – which will need their uniqname, employee full name, and order selection. Be specific with details of the item to ensure the correct item is ordered. Add rows to the template if there are not enough rows for all of the attendees.

When placing a buffet/family-style order, list each attendee in their own row with their name and uniqname OR you may attach a list of attendees to the ticket request. List the items you would like to order and their quantity under the “Order selection” column. Add rows to the template if there are not enough rows for all of the attendees.
