Issue

How do I use the "Send-As"/alias feature in Gmail to send emails using a different email address from my U-M Google account?

Resolution

Important: The Send-As/alias feature is different from email delegation.

The alias feature is most commonly used by U-M Google Shared Account owners instead of logging into the account to send email. It can also be used with regular MCommunity groups.

To add an email address as an alias to send as from your U-M Google account:

  1. Go to U-M Gmail.
  2. Click the gear icon and click See all settings.
  3. Click the Accounts tab at the top.
  4. Click Add another email address beside Send mail as.
  5. Enter the desired display name and email address in the corresponding fields.
  6. Check the Treat as an alias box and click Next step.
  7. Click Send Verification.
    • A verification code is sent to all members of the MCommunity group.
    • To avoid the entire group receiving the confirmation email, you can temporarily restrict who can send to the group and add yourself as the disallowed message recipient. This way, the confirmation email will just be sent to the disallowed message recipient. Remember to revert these settings after completing the setup.
  8. Click the link provided in the email (from your individual account) and click Confirm on the new page that opens. You can now send as the email address.

Compose a new message and use the drop-down list in the From: field to select the new email address.

Additional Information

  • If the MCommunity group is set to members only, the verification email will be undeliverable (unless there is a disallowed message recipient, in which case the email would only go to that address). This is because Google's automated email is considered an email from a non-group member.
  • You shouldn't have to enter any SMTP server information to add an email address as an alias. If, for some reason, you do, you must first register for the ITS Authenticated SMTP service and enter the U-M SMTP server information when prompted by Google (SMTP Server = smtp.mail.umich.edu, User Name = uniqname (without @umich.edu), Password is your UMICH password, Port = 587, Secured connection using TLS).
