Google: Appointment Schedule Booking Page Missing Available Appointments

Issue

I created an appointment schedule in U-M Google, but the available times I set are not showing on the booking page to schedule an appointment.

Resolution

There are a few factors that can alter the availability set for an appointment schedule and the actual times available to be booked. The primary cause of such problems is often attributed to the settings of the appointment schedule.

  1. Ensure the "General availability" is set appropriately for your availability and needs.
  2. Ensure that the "Scheduling window" settings are set appropriately.
    • Setting "Start and end dates" will limit the appointments available for booking between the specified dates. Selecting "Available now" will open all appointments set in "General availability" for booking. 
    • Setting maximum and minimum booking times will limit the ability to book upcoming appointments within this time window.
      • Example: Setting a maximum time of 1 day and a minimum time of 12 hours will limit the availability of an appointment from being booked between 24 and 12 hours prior to the appointment. If the appointment is at 12:00 p.m., it can only be booked between 12:00 p.m. (noon) and 12:00 a.m. (midnight).
  3. Ensure that the "Adjusted availability" is not set or is set appropriately.
    • Any dates listed will likely have different times available than what is set in "General availability."
  4. Ensure that the "Booked appointment settings" are not set or are set appropriately.
    • Setting a "Buffer time" will take away booking availability for a set time after an appointment has been scheduled.
      • Example: If a 30-minute buffer time is set, and a person books an hour appointment between 12:00 p.m. and 1:00 p.m., the next appointment to be booked after this would be available at 1:30 p.m. instead of 1:00 p.m.
    • Setting "Maximum bookings per day" will prevent people from booking appointments on a day with a maximum number of bookings.
      • Example: If the maximum number of bookings per day is set to "1" and a person books an appointment, that will prevent anyone else from booking an appointment that day, regardless of the set availability.
  5. Ensure that the proper "Calendars" are being checked for scheduling conflicts.
    • If the "Check calendars for availability" box is checked, appointment bookings will not be available during times in which other events exist on any of the selected calendars.
      • Example: If the "General availability" is set between 12:00 p.m. and 5:00 p.m. with a 1-hour appointment duration and an event is scheduled on your Google Calendar from 2:30 p.m. to 3:15 p.m., the "2:00 p.m. to 3:00 p.m." and "3:00 p.m. to 4:00 p.m." appointments will not be available for booking.
