Issue

How do I create, edit, extend, or close an MPrint account?

Resolution

Students, Faculty, Staff, or Sponsored Affiliates on the Ann Arbor Campus can create an MPrint Shortcode-backed funding account for themselves, a single user, or a valid MCommunity group.

For example, you might request an account if you are:

  • A professor who wishes to fund printing for a group of students.
  • An admin who wishes to fund user(s) in your department.
Important: Ensure you have approval from the Shortcode authorized signer before creating a Shortcode-backed account with MPrint!

Create an Account

Navigate to the MPrint Accounts page and click "+ Create New Account" to get started.

Some fields in the Create Account form are conditional and will display based on your selections.

The Create Account form fields are explained in detail below:
  1. Account Entity — This is the individual user or MCommunity group that will have access to use this account
  2. Account Type — Choose between either a “Quota Account” or an “Unrestricted Account”
    • A quota account will provision a specified dollar amount of funds to the Account Entity you have chosen
    • An unrestricted account has no dollar limit attached to it, but the Account Entity you have chosen will need to select this account when printing
  3. Account Shortcode — The shortcode that will pay for printing charged to this account
  4. Account Name — If the Account Type you have chosen is “Unrestricted Account”, you will also need to specify an Account Name for the Account Entity to select when printing. Quota Accounts will not prompt for this value.
  5. Account Quota — If the Account Type you have chosen is “Quota Account”, you will need to specify a quota amount. This must be a valid, positive value which can include cents, but does not need to.
    • ex. 25, 25.00, or 25.25 are all valid quota amounts.
    • Note: Quotas are not disbursed from the Shortcode immediately upon account creation. If a user is given a $25 Quota but only uses $12, the Shortcode will only be charged $12.
  6. Account Term — For which term do you want this account to activate? If you choose the current term, MPrint will attempt to create and activate the account immediately upon submission. If you choose a future term, the account will be automatically created and activated at the start of the term you chose.
  7. Account Expiration Term — After which term do you want this account to expire? Accounts are not allowed to be created for perpetual use, so you must choose a term that this account will expire at the end of. You can edit this value even after the account is activated, to extend or shorten the account’s life.
  8. Refresh Quota — If the Account Type you have chosen is “Quota Account”, and the Account will span more than 1 term, you will be asked if you want the Quota amount to be refreshed at the start of each term. If you check the box, the quota will be reset for the Account Entity at the start of each term that the account is active. If you do not check the box, the quota amount will only be set at account activation.
  9. Admin Entity — This is the individual user or MCommunity group that will have access to manage this account
    • Note: The admin entity has the power to make changes to the account and will receive an email notification prior to the account's expiration.
Note: charges attributed to a Shortcode account are aggregated and processed on a monthly basis. This means, for example, that printing charged to an account in September 2025 will be aggregated, processed, and charged to the Shortcode in October 2025.

Once the form is completed, click Submit Account to request creation of the account. If the account is being requested for the current term, account creation should begin immediately. Once the account is created, an email notification is sent to all users assigned to the account, informing them that the account is active and available for use.

Edit or Extend/Renew an Account

  1. Navigate to the MPrint Accounts page 
  2. Under the Accounts I Administer section, locate the account you wish to edit or extend/renew
  3. Click on the pencil/paper icon to Edit the account
    • Note: you can only edit accounts that have not already terminated (e.g. have status Closed, Cancelled, or Expired)

The Edit function allows you to modify most fields of the account, even if it is already active. Please see the list of Editable fields below:

  • Account Entity — The user or group who has access to use this account
  • Refresh Quota — Whether or not a Quota account balance should be reset to the Quota amount at the start of every term the account is active
  • Account Shortcode — The University shortcode that is funding this account
  • Account Term — The term for which this account will be activate and usable
  • Account Expiration Term — The term which this account will expire at the end of
  • Admin Entity — The user or group who has access to administer this account
Note: Modifying the Account Shortcode field will impact Shortcode charging for the full month of charges. For example, if the Shortcode is changed on September 15, when the charges are aggregated and processed in October, all charges for the month of September will be charged to the new Shortcode for this account.
Note: If you receive an email stating that an account you manage is expiring soon, you can simply edit the Account Expiration Term value to a later term if you want the account to remain active.

Once you have finished making your changes, hit Save Account and your modifications will apply immediately.

Close/Cancel an Account

  1. Navigate to the MPrint Accounts page 
  2. Under the Accounts I Administer section, locate the account you wish to close
  3. Click on the X icon to Close/Cancel the account
Note: hitting the Close/Cancel button on a previously submitted account will take effect immediately, and cannot be reversed. If you accidentally close an account you still want to use, you will have to recreate it using the Create Account form.
