Zoom: Viewing Participant Attendance for Past Meetings

Zoom automatically tracks when participants join and leave your meetings, making it easy for instructors and meeting hosts to take attendance or review participant data after a session has ended. This guide explains how to access your meeting usage reports and export a list of attendees.

Important Limitations

 

Before attempting to pull an attendance report, please be aware of the following system parameters:

  • Processing Time: Attendance reports are not immediately available when a meeting ends. It typically takes about 30 minutes for Zoom to generate the usage report after the meeting has fully concluded.
  • Retention Period: Zoom retains meeting reports for the last 12 months. If you need permanent records for grading or auditing, you must download the reports within this timeframe.
  • Host Only: You can only pull an attendance report for a meeting if you were the original person who scheduled it (the host). Co-hosts and participants do not have access to usage reports.

Accessing the Usage Report

 
  1. Sign in to the U-M Zoom web portal using your university credentials.
  2. Click your profile icon in the top right and select My Account.
  3. From the left-hand navigation menu, click Reports to expand the menu.
  4. Select Meetings & Webinars.
  5. Under Usage reports, select Meeting and webinar history.
  6. Use the "From" and "To" date boxes to establish a search range. Note: The maximum search range is one month at a time.
  7. Click the Search button to display a list of your past meetings within that timeframe.
  8. Locate the specific meeting you want to review. In the far-right Participants column, click the blue, clickable number.

Exporting the Attendance List

 

Clicking the participant number will open a pop-up window displaying the detailed meeting participants list. This list includes each user's display name, email address (if they signed in), join time, leave time, and the total duration they were in the meeting.

Pro-Tip: Use "Show Unique Users"
If a student loses connection and rejoins the meeting, their name will appear on the report multiple times. To fix this, check the Show unique users box at the top of the pop-up window. This consolidates duplicate names into a single row and calculates their total duration spent in the meeting.

  1. Check the Show unique users box (highly recommended for grading purposes).
  2. Click the blue Export button.
  3. A Comma Separated Values (.csv) file will download to your computer.
  4. Open the file in Microsoft Excel or Google Sheets to sort, save, or format the attendance data.
