DART Query Tool - How to Create New Queries / Segments by Copying Existing Ones

What does it do?

Step-by-step guide to using existing queries/selections to create new ones as well as the accompanying segment, to be used in a marketing effort.

Why is this done?

Using a previously vetted query as a template to create a new one reduces the need for testing and quality control. 

Steps

  1. *** Exhaustively search for existing query that meets your criteria before creating a new one! ***
  2. Go to Analysis --> Information Library

  3. Search for an existing query that closely matches the query criteria you are trying to replicate. (examples below)
    1. Giving Blueday donors: search for %giving%blue%day% or %gbd%
    2. Current FY donors: %const%donor%fy%current%
    3. If you don't find one with your unit, you may want to look for other units or UM-wide queries.
    4. Once you find a suitable query, copy it by expanding the query info and click Copy.

  4. Edit the query filter criteria as needed.
    1. See screen shot for example to add/change the SCU for a giving query.

    2. Update query name, description, and change the folder if you copied from another unit.
    3. If this query will be used inside of other queries, make sure to check Show this selection in the query designer.
    4. Copy the query name to your clipboard.
    5. Click Save and Close.
  5. Go to Marketing and Communications and click Segments.

    2. Click the carrot next to Add and select Constituent Segment.Uploaded Image (Thumbnail)
    3. For the Segment name, type SEG_ and paste the query name from the previous step.

    4. Select the Segment Code type according to your query criteria.
      1. Constituent Segment- query is based on constituent affiliation, attribute, or alumni status.
      2. Donor Segment - query is based on giving.
      3. Mixed Segment- query is based on combination of 1 & 2.
      4. Import Segment- segment is based on an list that you imported.
      5. Public Media Segment - Used exclusively for Public Media Efforts and is not tied to constituents
      6. Segment import code - Used exclusively for batch loading segments (DO NOT USE)
    5. Click Add to select the query you just created.
      1. In the new window paste the query name in for Name and press Enter (or enter a search string and press Enter).
      2. Select the the desired query by clicking the name of it (you can also highlight the row and click Select).

    6. In the previous window, click Save.
  6. This segment should now be searchable when you are adding segments to your marketing effort.
