Tableau - Dashboard Subscriptions

A Subscription in Tableau Server allows you to receive scheduled email updates of Tableau dashboards or worksheets. When you subscribe to a workbook or a specific view, Tableau will automatically send an email containing the most recent version of that report as a PDF or an image, along with a link to the dashboard, at your selected intervals.

Subscriptions help keep you up-to-date by delivering the latest data directly to your inbox, saving you time and ensuring that you have a built-in reminder to review data.

To create a subscription, navigate to the Tableau dashboard. 

  1. In the blue header bar (on the right side), select the “Watch” option, then “Subscriptions”.

  1. Subscribe users by searching their name (Last, First) or their uniqname. You may select multiple users, or set subscriptions up for other people.

  1. Decide whether to subscribe to the dashboard in view, or the entire workbook (all tabs). If you want to subscribe to a custom set of filters, you must first create a custom view and select the preferred custom view before setting up the subscription. You can also decide whether to skip sending the email if the view is empty (i.e., if it doesn’t have data – this will be uncommon for most DEV dashboards).

  1. Determine the preferred format of the email for the dashboard: Image, PDF, or both.

  1. Set the email subject and message.

  1. Determine how often the email of the dashboard will be sent. If you select “On Selected Schedule”, select from many options for daily, weekly, and monthly sends. Do not schedule any subscriptions between 9PM and 7AM Eastern – doing so may cause the data warehouse refresh to fail or it may return partial / incomplete results.

  1. When you are done, click “Subscribe”

The email will come from “tableau-notify@umich.edu”. The email will be formatted as all of the images (if you selected images), then the custom message you set up, and then a link to the dashboard, then the option to unsubscribe.

In the email, there is a link called “Manage my subscriptions” – click this.

Or, you can manage all of your subscriptions from “My Content” from your user account (upper right, your initials) in the “Subscriptions” tab.

Click on the “...” next to the subscription you want to unsubscribe from, then select “Unsubscribe”.
