​​​​​What does it do?

This report is designed to pull all revenue transactions (for the purposes of Gift Acknowledgement) given a prompted timeframe (i.e. revenue Added/Adjusted start and end dates). Users also have the option to restrict results based on -- 

  • Giving/Donor Information (i.e. SCU, VP Area, Campus, Site Name, Designation LookupID (LID), Major Gift Region)
  • Custom Name Type
  • Communication Preference
  • Alias Name Type

Why use this report?

Use this report if you need to send gift acknowledgements to constituents who donated within a particular time frame 

E.g. Send Thank You letters to University of Michigan donors who gave to BHL last month

Click the highlighted icon to bring up the user prompts.

If the report is taking too long to run, schedule the report (see above).

Prompts

You then need to set the prompts. (Prompts act as questions that help you to customize the information in a report to suit your own needs!)

Below are the available prompts (with explanation) —

  • Enter Revenue Added/Adjusted Start Date (Required)

    • Allows users to enter a starting revenue added/adjusted date, this is the date the transaction is entered into DART

    • NOTE: Use date after 03/20/2012 (DART GO-Live date)

    • NOTE: Business Objects does not prevent you from entering an invalid date (ex. 1/1/0221), so double check the dates you enter. Alternatively, you may use the calendar icon to the right of the input field to select a date rather than typing one in manually

    • E.g., 1/1/2021 or 01/01/2021
       

  • Enter Revenue Added/Adjusted End Date (End) (Required)

    • Allows users to enter an ending revenue added/adjusted date, this is the date the transaction is entered into DART

    • NOTE: Use date after 03/20/2012 (DART GO-Live date)

    • NOTE: Business Objects does not prevent you from entering an invalid date (ex. 1/1/0221), so double check the dates you enter. Alternatively, you may use the calendar icon to the right of the input field to select a date rather than typing one in manually

    • E.g., 1/1/2021 or 01/01/2021

Giving/Donor Information (Optional)

Answer no more than one of the following prompts to be displayed. In a single prompt you may select multiple values (e.g. multiple VP areas, site names, designations, etc.). To report on University Wide giving, leave all blank

  • Enter Campus Rollup (Optional)

    • Allows users to enter a Campus Rollup for the report. This allows the report to aggregate all giving to a specified Campus Rollup. 

    • E.g., Univ of Michigan-Ann-Arbor, Univ of Michigan-Dearborn
       

      • OR Enter Value(s) for Purpose VP Area Rollup (Optional)

        • Allows users to enter a VP Rollup for the report. This allows the report to aggregate all giving to a specified VP Rollup. 

        • E.g., Office of the President, VP for Development
           

      • OR Enter Value(s) for Purpose S/C/U Rollup (Optional)

        • Allows users to enter an SCU Rollup for the report. This allows the report to aggregate all giving to a specified SCU Rollup. 

        • E.g., School of Information
           

      • OR Enter Value(s) for Purpose Site Name

        • Allows users to enter a Purpose Site Name for the report. This allows the report to aggregate all giving to a specified Purpose Site. 

        • E.g., School of Information
           

      • OR Enter Value(s) Designation LookupID (Optional)

        • Allows users to enter a Designation LookupID (aka Shortcode) for the report. This allows the report to aggregate all giving to a specified Designation.
           

      • OR Enter Value(s) for Major Gift Region (Primary) (Optional)

        • Allows users to enter a Major Gift Region for the report. This allows the report to filter for all giving associated with a Major Giving Region (or list of Regions), based on the legal donor’s primary address. 

        • E.g., Midwest

Name & Communication Information (Optional)

You may choose any of the following – or leave blank. 

  • Enter Custom Name Type (Optional)

    • Allows users to enter one of the DART Name's tab formats to display in the report.

    • E.g., Formal Individual Name
       

  • Select Communication Preference(s) to Display (Optional)

    • Allows users to select any (or none) of the Do Not Contact/Do Not Solicit Codes to display in the report

    • E.g., Annual Solicitation Only
       

  • Enter Alias Name Type (Optional)

    • Allows users to select one Alias Name Type

    • E.g., UM Preferred Name 

User Input Controls

Once you run the report, you may then set the User Input Controls. (User Input Controls help you to further filter the information that is displayed on the report tab!). These input controls can be found to the right of the prompts icon while on certain report tabs:

Below are the available user input controls (with explanation) —

  • Purpose Site Name

    • Allows users to filter the report output by one or more specific Purpose Site Names

    • E.g., Bentley Historical Library
       

  • Designation Pub Name

    • Allows users to filter the report output by one or more specific Designation Public Names

    • E.g., Bentley Digital Strategic Fund
       

  • Revenue Transaction Type

    • Allows users to filter the report output by one or more specific Revenue Transaction Types

    • E.g., Planned Gift
       

  • Revenue Application

    • Allows users to filter the report output by one or more specific Revenue Applications

    • E.g., Donation
       

  • Minimum Revenue Amount

    • Allows users to filter the report output by a Minimum Revenue Amount (in $)

    • E.g., ≥ 100

Report Tabs

There are 11 report tabs:

  • New Payments    

    • Shows revenue transactions and constituent info for Payments that were added in the specified date range
       

  • Recurring    

    • Shows revenue transactions and constituent info for recurring Payments that were added in the specified date range
       

  • Adjusted Payments

    • Shows revenue transactions and constituent info for Payments adjusted (with GL changes) that were added or adjusted in the specified date range
       

  • Non-Payments    

    • Shows revenue transactions and constituent info for revenue other than Payments that were added/changed (e.g. Pledges, Matching Gift Claims, etc.)
       

  • Sponsor Grant Payments

    • Shows revenue transactions and constituent info for Sponsor Grant Payments that were added in the specified date range
       

  • Revenue Summary    

    • Shows a higher level summary of the data in the report (from the New Payments, Adjusted Payments and Non-Payments tabs) broken down by Application Type, Application, Transaction Type, Pledge type (if applicable), whether the donor wants to be acknowledged, whether the payment was given anonymously, and whether the donor received a receipt, with Total Revenue Amount..
       

  • Revenue Notes

    • Shows all Revenue Notes attached to transactions in either the New Payments, Adjusted Payments, or Non-Payments tabs.
       

  • Comm Preferences

    • Shows all Communication Preferences selected in the prompts of the report for all constituents present in the New Payments, Adjusted Payments, or Non-Payments tabs.
       

  • Tribute Details

    • Shows all tribute information, including tribute type, tribute text, and acknowledgee contact information

    • Includes Constituent LookupID (LID), Full Name, Revenue LID, Tribute Information (i.e. Type, Text, Online Donor Comment), and Acknowledgee Information (i.e. Name, LID, Communication Preferences, and Address)
       

  • Formatted 

    • Shows formatted version of subset of data on previous tabs
       

  • Revenue Attribute

    • Shows gifts with either a revenue attribute of "Acknowledgee", "Customer Note", "Online Other Designation Description", or "WA BBIS RevNote"
