DART - Solicit Code vs Mail Preference. What Are They and How Are They Used in DART?

What is a “Solicit Code”?

A “Solicit Code” is a DART code that signifies the channel the constituent does not wish to be utilized when engaging with them (e.g., No Telephone Contact). The Solicit Code allows the university to honor the specific communication channel preferences of our constituents. It is vital to always honor our constituents' Solicit Code preferences as they come directly from the constituents. With almost every “No Contact” code there is a “No Contact – [SCU Name]” version. Constituents can opt out of specific SCU communication channels without impacting other units. If it’s “No Contact” on its own, it means it’s University-wide — no contact from us via any channel.

Common Solicit Codes

When should I use a Solicit Code?

Use a Solicit Code when a constituent communicates that there is a specific channel of communication they wish to be opt-ed out of by development (e.g., “I no longer wish to be called”).

What is a “Mail Preference”?

A “Mail Preference” (also known as a "Communication Preference" or "Correspondence Code") is a DART code that signifies if a constituent does or does not want to receive a specific communication. Mail Preferences help track which specific outreach pieces constituents opt in or opt out to receive; mail preferences are about the content of the communication and the constituent ultimate wishes about the content. Mail Preferences have the ability to track a constituent's opt-in or opt-out. Please note that Mail Preferences can be used regardless of channel (email, mail, etc.).

Data Standard

When should I use a Mail Preference?

A Mail Preference should be used when a constituent needs to be opt-ed in or opt-ed out of a specific communication such as a newsletter or magazine.

Why do some Mail Preferences say “EMAIL” or “MAIL” at the end?

Some communication pieces are multi-channel, meaning they are sent over email and mail. Constituents could have conflicting preferences based on each channel (e.g., “please send me the LSA Magazine in the mail, but not in email”). To capture this, often two codes are created with a specific channel attached. This helps the community differentiate the correct channel. Due to DART functionality, when an individual is opt-ed out of an outreach piece, the “Delivery Method” field is blank. This is why the channel is added to the code name.

How to use Mail Preference to opt-in or opt-out a constituent?

The field “Send” indicates whether a particular outreach piece should or not be send to a constituent.

How do I request a new Solicit Code or Mail Preference in DART?

To get a new code added to DART, please put in a new code request at code review. Read about code review here.
