Prerequisite
- Have the Zoom Translation add-on per ITS on the Zoom meeting's owner's profile.
Process
Required Steps
Lectern
- Preset 1 on the touch panel's home page
- Raise the Pods via the touch panel
- Sign into the lectern PC
- Confirm you are signed into Zoom Application (rather than the website)
- Start the Zoom Meeting
- Enable Translations (more > captions > turn on translation)
- Set your speaker language for the translation
- Set the caption language (only if you plan on having translations show up on the main side screens)
- Retrieve the zoom meeting ID (you can see it if you select Participants > Invite)
- Pop out the caption screen
- Minimize the Zoom video
- Stretch out the caption translation screen to take up most of the screen
Pods
Repeat the following steps for each pod / language needed to be translated
- Open the Zoom app
- Don't sign in
- Join as guest
- Change the name to the pod number
- Enter in the meeting ID and join the meeting
- Uncheck connect with audio or video
- Confirm the audio is muted for both the TV and for the computer speaker (or else there will be an echo!)
- Enable Translations (more > captions > turn on translation)
- Set the caption language
- Pop out the caption screen
- Minimize the Zoom video
- Stretch out the caption translation screen to take up most of the screen
Options for Presenting / Translating
Method 1 - Translation only on the Pods (easiest)
- Leave the room on 'Preset 1'
- Bring up the presentation and start it
- You can have access to your notes on the second monitor
Method 2 - One Language Translated On Front Screens (preferred)
- Confirmed you finished all of the steps in the above Required Steps - Lectern
- Will any of the presentations have audio / video during the day?
- If Yes - On the touch panel change the projector screens to: [Primary] [Extended] [Primary]
- If No - On the touch panel change the projector screens to: [Extended] [Primary] [Extended]
- Bring up the presentation
- In power point select the "Slide Show" tab
- Based on the what route we took in step 1 > Change the monitor drop down from Automatic to the correct monitor
- Uncheck the use 'presenter view' option
- Start the slide show, and it should only be on one Screen
- Move the Zoom translation caption window to the other screen
Method 3 - Laptop with notes (most difficult)
- Confirmed you finished all of the steps in the above Required Steps - Lectern
- Move the translation caption window to the Primary (left) screen
- On the touch panel change the projector screens to: [Primary] [Laptop] [Primary]
- Plug in the laptop via the HDMI cable on the desk
- Set the screen to 'extend' on the laptop (rather than duplicate)
- Bring up and start the presentation with notes / 'presenter view' on the laptop
Notes:
The translate window may temporarily disappear after a little inactivity, but should reappear after it catches someone speaking into the mic
