Prerequisite

  • Have the Zoom Translation add-on per ITS on the Zoom meeting's owner's profile.

Process

Required Steps

Lectern

  1. Preset 1 on the touch panel's home page
  2. Raise the Pods via the touch panel
  3. Sign into the lectern PC
  4. Confirm you are signed into Zoom Application (rather than the website)
  5. Start the Zoom Meeting
  6. Enable Translations (more > captions > turn on translation)
  7. Set your speaker language for the translation
  8. Set the caption language (only if you plan on having translations show up on the main side screens)
  9. Retrieve the zoom meeting ID (you can see it if you select Participants > Invite)
  10. Pop out the caption screen
  11. Minimize the Zoom video
  12. Stretch out the caption translation screen to take up most of the screen

Pods

Repeat the following steps for each pod / language needed to be translated

  1. Open the Zoom app
  2. Don't sign in
  3. Join as guest
  4. Change the name to the pod number
  5. Enter in the meeting ID and join the meeting
  6. Uncheck connect with audio or video
  7. Confirm the audio is muted for both the TV and for the computer speaker (or else there will be an echo!)
  8. Enable Translations (more > captions > turn on translation)
  9. Set the caption language
  10. Pop out the caption screen
  11. Minimize the Zoom video
  12. Stretch out the caption translation screen to take up most of the screen

Options for Presenting / Translating

Method 1 - Translation only on the Pods (easiest)

  1. Leave the room on 'Preset 1'
  2. Bring up the presentation and start it
  3. You can have access to your notes on the second monitor

Method 2 - One Language Translated On Front Screens (preferred)

  1. Confirmed you finished all of the steps in the above Required Steps - Lectern
  2. Will any of the presentations have audio / video during the day?
    1. If Yes - On the touch panel change the projector screens to: [Primary] [Extended] [Primary]
    2. If No - On the touch panel change the projector screens to: [Extended] [Primary] [Extended]
  3. Bring up the presentation
  4. In power point select the "Slide Show" tab
  5. Based on the what route we took in step 1 > Change the monitor drop down from Automatic to the correct monitor
  6. Uncheck the use 'presenter view' option
  7. Start the slide show, and it should only be on one Screen
  8. Move the Zoom translation caption window to the other screen

Method 3 - Laptop with notes (most difficult)

  1. Confirmed you finished all of the steps in the above Required Steps - Lectern
  2. Move the translation caption window to the Primary (left) screen
  3. On the touch panel change the projector screens to: [Primary] [Laptop] [Primary]
  4. Plug in the laptop via the HDMI cable on the desk
  5. Set the screen to 'extend' on the laptop (rather than duplicate)
  6. Bring up and start the presentation with notes / 'presenter view' on the laptop

Notes:

The translate window may temporarily disappear after a little inactivity, but should reappear after it catches someone speaking into the mic
