Appointing Departments and Schools

Description:

A list of standardized, top-level departments, colleges, and schools, used for reporting and filtering purposes. The values in this list are used throughout TrackMaster, in particular the People list, as drop-down menu options.
Custom List.

Fields:

Field Name	Description	Choices
Attachments	Relevant attachments (any file type).
Campus	The university campus for this school or college.
Created	The date when this record was created.
Created By	The person or account who created this record (author).
Department	(Required) The standardized name of this appointing department. Typically, this is a top-level department (one level below a school or college), without prefixes or abbreviations. This value is not always the official department name in the system, but rather a shorter, manually-entered name used for reporting purposes.
Department Display Name	Auto-calculated, concatenated column to show in other lists. Do not update manually.
ID	Numeric identifier for this item. The ID field is a system-generated primary key that cannot be changed.
Modified	The date when this record was last updated.
Modified By	The last person or account who updated this record.
School	The University of Michigan school, college, or appointing institute to which this department belongs. Currently, only two specific institutes have the same full faculty appointing power as colleges and institutes.

Automation Requests

Description:

Backend for bulk uploads and automated tasks. This list is used to trigger, track, and notify users of different automations. For system use only. Important: Do not add items to this list directly. Doing so may break things and corrupt data. Only use via the Bulk Uploads and Automations section.

Flow Instance Link	Link to the log of this flow in the automation system (e.g. PowerAutomate or iPaaS). Sources: Power Automate

Group:MCommunity Group	The MCommunity group e-mail address associated with the Group that was selected for this automation (automatic). References: Groups List - MCommunity Group
ID	Numeric identifier for this item. The ID field is a system-generated primary key that cannot be changed.
List of Users	Enter a list of UniqNames or e-mail addresses separated by commas, or one per line.
Modified	The date when this record was last updated.
Modified By	The last person or account who updated this record.
Override Participants	For events and consultations only: when checked, existing participants are overridden (recipients, attendees, registrants, etc., depending on the automation selected).
PI	The Primary Investigator to use in this automation, if applicable. References: People - Full Name
Status	(Required) The current status of this automation request. Do not edit manually.	Submitted Running Finished Canceled
Submission	(Required) The title of this submission. This value is auto-generated after submitting the automation request form.
Submission Form	The custom form that was submitted. This field is based on Confirmation checkboxes, and is used to determine what flow to run.
Template	Paste your document or email here to use as a template. Available fields: [FIRSTNAME], [LASTNAME], [FULLNAME], [PI], [CENTERNAME].

Automations List

Description:

List of automations in Power Automate and TDX iPaaS. This list is updated automatically every night. Administrators can run flow manually as needed, and can use this list as a reference to see dependencies so they can now which SharePoint lists or which other flows would be affected by a change to a flow.

Title	The name or title of this automation.

Event Summary

Description:

Tracks events hosted by the center. Includes public details such as a summary, description, and event recording link, as well as private information for reporting purposes such as number of registrants and attendees.

# Attendees	The approximate number of attendees, including walk-ins, guests, and those joining by phone.
# Registrants	The approximate number of pre-registered participants, excluding walk-ins.
Attachments	Relevant attachments (any file type).
Attendees	List of even attendees, if available. References: People - Full Name
Calculate Totals Automatically?	If checked, the # of registrants and # of attendees will be auto-calculated using their corresponding columns. If unchecked, you can specify a value manually and it will not get overridden.
Center Expenses	The total internal cost (expenses that come from the center's budget). This excludes any portions paid by others.
Created	The date when this record was created.
Created By	The person or account who created this record (author).
Event Date	(Required) The date when the event occurred.
Event Description	The public description or summary for this event.
Event Location	The physical location of the event, if applicable.
Event Recording	Link to video recording (or playlist), if available. For individual videos, use the video's "Share" button to get the link. For playlists, right-click "Play All" and copy the link.
Event Title	(Required) (Required) The title of the event. This value must be unique. For repeating events, use the title of the event series followed by the date to make this value unique.
Event Webpage	The URL to the webpage or announcement for the event.
Event Year-Month	The event date formatted as "yyyy-mm mmmm" (e.g. 2025-01 January, 2026-12 December). This field can be used to facilitate sorting.
ID	Numeric identifier for this item. The ID field is a system-generated primary key that cannot be changed.
Modified	The date when this record was last updated.
Modified By	The last person or account who updated this record.
Notes	Additional notes, comments, links, or important remarks.
Populations	The population focus for this event, from the center's pre-defined taxonomy. Groups List

Description:

Configuration for groups of people, MCommunity sync settings, and definitions of "communities" (larger collection of people, typically those served by a specific team or core). Groups with the "Sync" box checked, and marked as "Active", have their members automatically synced from MCommunity. Note that a center membership group is required for TrackMaster to function properly. Its name and internal ID must be entered into Power Automate environment variables.

Group Leader	Primary team member who leads or facilitates this group. References: People - Full Name
Group Leader Email	The email address of the primary contact for this group. This value is used for notifications about certain group sync events and/or errors (automatic). References: People - Email
Group Members	Link to view all members of this group in the People list.
Group Name	(Required) The name or title of this group. This value is used in drop-downs in other lists. It does not necessarily have to be the same as the group name in MCommunity, MS Teams or Office 365.
Group WebPage	The web page for this group, if applicable.
ID	Numeric identifier for this item. The ID field is a system-generated primary key that cannot be changed.
MCommunity Group	The MCommunity group email address, if applicable (e.g. mycenter.members@umich.edu). This email address is used to keep MCommunity group members in sync with the People list, as long as the Sync flag is checked.

Description:

The People list is at the heart of TrackMaster. It contains contact information for members, prospective members, and others. Internal (U-M) contacts are automatically updated using MCommunity and Office 365.
