Google Calendar is the new calendar system included with your new UMICH Gmail account. For more information about your UMICH Gmail account, please refer to google.umflint.edu

This article is intended for current faculty, staff, and students who would like to know how to utilize Google Calendar.

Requirements

To follow this article you will need to have access to the internet. You will also need to have access to your university account and know your current university credentials (uniqname and current password).

Create an Event[back]

  1. Open Google Calendar.
  2. Press Create in the top left corner.
  3. This opens a drop-down menu where you can select which type of event you are making.
  4. Add your event title inside the Add Title field.
  5. You can also change the event type from the ribbon just below the title.
  6. On the next line, it will show in Begin Date, Begin Time - End Time. You can change those by clicking on them.
  7. You can click on "Does not repeat" to open a drop-down menu and choose from several options to make it recurring.
  8. Invite people to your event by adding their email address in the Add guests field.
  9. Add locations in the field Add rooms or location.
  10. You can add anything related to the event in the Add description or attachments field.
  11. Click Save.
  12. You will be asked to choose if you want to send an email invitation to your guests.
    1. Press Send to send an email invitation to the guests.
    2. Press Don't send to not send an email to the guests. (It will still show up in their calendar)
    3. Press Back to editing if you need to change anything in your event.
  13. If you invited any guests who do not have a @umich.edu email address, you will be asked to choose if you still want to invite them.
    1. Press Invite all guests to invite them.
    2. Press Continue editing to edit the event.

Alternatively, you can click on the time in the calendar to start creating an event following the same steps as above.

Edit an Event

  1. Click on the event you would like to edit.
  2. Click on the pencil icon to edit the event.
  3. You will now see the custom edit page for the event.
  4. Change any setting you need to on this page then click on save in the upper right-hand corner.
    1. If it was already set as a recurring event, you will be asked if you wish to change:
      • This event
      • This and following events
      • All events
  5. Press OK.
  6. You will be asked to choose if you want to send an email to let your guest know that you have edited the event.
    1. Press Send to send a system-generated email to the guests.
    2. Press Don't send to not send an email to the guests. (It will disappear from their calendar)
    3. Press Back to editing if you need to edit the event.

You can also click and drag an event to change the time and length of an event.

Delete an Event

  1. Right-click on the event.
  2. Press Delete
    1. If it is a recurring event, you will be asked to select one of the following.
      • This event
      • This and following events
      • All events
  3. Press OK.
  4. You will be asked to choose if you want to send an email to let your guest know that you have canceled the event.
    1. Press Send to send a system-generated email to the guests.
    2. Press Don't send to not send an email to the guests. (It will disappear from their calendar)
    3. Press Dismiss if you do not need to cancel the event.

Create a Calendar[back]

  1. Open Google Calendar.
  2. On the left side, next to Other calendars, click the "+" sign. This will open a menu.
  3. Press Create new calendar.
  4. Input the calendar's name.
  5. Add a description.
  6. Set the time zone.
  7. Press Create Calendar.

Share a Calendar

Option 1

  1. Open Google Calendar.
  2. On the left side, next to the calendar you wish to share, press the three dots.
  3. Press Settings and sharing.
  4. Scroll down, press Get shareable link.
  5. Press Copy link.
  6. Now you can paste the link to other places, people who click on the link will be able to see the calendar.

Option 2

  1. Open Google Calendar.
  2. On the left side, next to the calendar you wish to share, press the three dots.
  3. Press Settings and sharing.
  4. Scroll down to the heading Share with specific people, and then press Add people.
  5. Type in the person's email address or name.
  6. Setting Permission to one of the following.
    • See only free/busy (hide details)
    • See all event details (default)
    • Make changes to events (This will let them make changes to your event)
    • Make changes and manage sharing (This will let them make changes to your event, and sharing your calendar with other people)
  7. Press Send.
  8. The recipients will get an email notification stating you have shared a calendar with them.

Add Notifications

Adding notifications means you will get notifications before every event.

  1. Open Google Calendar.
  2. On the left side, next to the calendar you wish to share, press the three dots.
  3. Press Settings and sharing.
  4. Scroll down, under Event notification, press Add notification.
  5. You can change the time that the notification gets pushed before an event.

Delete a Calendar

  1. Open Google Calendar.
  2. On the left side, next to the calendar you wish to share, press the three dots.
  3. Press Settings and sharing.
  4. Scroll all the way down, press Delete.
