This report provides units with information on donor retention and participation based on alumni status at the Unit/Campus Level.

This Report

This report provides units with information on donor retention and participation based on alumni status at the Unit/Campus Level.

Why use this report?

Use this report to understand donor retention and participation for your unit by showing giving activity at the campus level, specifically for alumni. It helps you see which campuses are retaining alumni donors year over year, where participation is increasing or declining, and which campuses may need additional outreach or stewardship.

Running the Report Directly

Click the highlighted icon to bring up the user prompts.

If the report is taking too long to run, schedule the report (see above).

Prompts

You then need to set the prompts. (Prompts act as questions that help you to customize the information in a report to suit your own needs!)

Below are the available prompts (with explanation) —

Unit (Required)

Answer the following prompt to filter by unit name

• Enter value for Site Name

  • You may only select one unit/campus

  • E.g., Ann Arbor

FY (Required)

Answer the following prompt to filter by the most recent Fiscal year for which you would like to view YoY retention for

• Enter value for FY

  • You may only select one FY

  • E.g., FY2026

Flint/Dearborn Sub-Units (Required)

Enter "Yes" to include sub-units for Flint or Dearborn (this prompt only works when the 'Univ of Michigan-[campus]' is selected as the unit).

• Include Flint/Dearborn Sub-Units?

  • You may select either “Yes” or “No”

M.D. Alumni Only (Required)

Only applies when running for "Medical School", select "Yes" and only MD degree holders will be counted as Alumni to Unit. The default value is "No".

• M.D. Alumni Only?

  • You may select either “Yes” or “No”

Include MED, UMHS, & HOSP (Required)

Only applies when running report for "Medical School", select "Yes" to include giving to MED, UMHS, & HOSP or "No" for giving to MED only.

• Include MED, UMHS, & HOSP?

  • You may select either “Yes” or “No”

Report Tabs

There is 1 report tab:

• Donor Retention Summary

  • Provides donor counts for each of the three retention categories: 

    • 1. ACQUIRED: They gave in the selected fiscal year, to the selected site, but not within the previous six fiscal years. (gave in FY26 but not between FY20-FY25).

    • 2. RE-ACQUIRED: They gave in the selected fiscal year, to the selected site, but not in the previous fiscal year. (gave in FY26 AND between FY20-FY24 but NOT in FY25).

    • 3. RETAINED: They gave in the selected fiscal year, to the selected site, AND in the previous fiscal year. (gave in FY26 AND in FY25).
