This report gives a count of Alumni by unit and exclusions for communication mailings including their Communication Preferences, Pending Asks, and Memorial Donors. Counts also include Donor Status broken down by contactable, and not contactable.

This Report

This report gives a count of Alumni by unit and exclusions for communication mailings including their Communication Preferences, Pending Asks, and Memorial Donors. Counts also include Donor Status broken down by contactable, and not contactable.

Why use this report?

Use this report to quickly understand how many alumni are available for outreach by unit and why certain individuals must be excluded from communication mailings. The report breaks down donor status into contactable vs. not contactable counts, helping you accurately scope campaign audiences, plan segmentation, and set realistic outreach targets.

Running the Report Directly

Click the highlighted icon to bring up the user prompts.

If the report is taking too long to run, schedule the report (see above).

Prompts

You then need to set the prompts. (Prompts act as questions that help you to customize the information in a report to suit your own needs!)

Below are the available prompts (with explanation) —

Education Unit (Required)

Answer the following prompt to filter results to specific education units alumni are connected to

• Enter value(s) for Education Unit

  • You may select one or more education units

  • E.g., College of Engineering

Recognition Constructed Site Rollup (Required)

Answer the following prompt to restrict the most recent gift to those given to the unit selected

• Enter value(s) for Recognition Constructed Site Rollup

  • You may select one or more Recognition Constructed Site Rollup

  • E.g., Medical School

Education Degree (Optional)

Answer the following prompt to filter to specific degrees an alumni has

• Enter value(s) for Education Degree

  • You may select multiple Education Degrees

  • E.g., M.D.

Report Details (Required)

This prompt is defaulted to “No”, change it to “Yes” to include the report details for the Alumni counts

• Include Report Details?

  • You may select either “Yes” or “No” for including report details

Report Tabs

There are 2 report tabs:

• Alumni Counts

  • Shows the counts of Alumni to the selected unit and counts of contactable Alumni, based on Donor States

  • Contains breakdowns for Degree Affiliation, Universal Exclusions, Donor Status, and Lost Alumni

• Alumni of Unit Detail

  • Displays the detail of the alumni data that is aggregated on the Alumni Counts tab

  • It is sorted by default to put “Lost” alumni at the top
