Constituent Report - Educational Involvement Summary and Constituent Details

This article walks users through how to run the Business Object report titled: "Educational Involvement Summary and Constituent Details." This report is designed to pull a list of all constituents with Education Involvement Data (i.e. Student Activities) given user specified Involvement (i.e. type, name, position, award, site name, OR SCU rollup) and date range. Also displays counts of Education Involvement (Student Activities) data rows.

This report is designed to pull a list of all constituents with Education Involvement Data (i.e. Student Activities) given user-specified Involvement (i.e. type, name, position, award, site name, OR SCU rollup) and date range. Also displays counts of Education Involvement (Student Activities) data rows.

Why use this report?

Use this report if you need to:

1. Report to management/board on the data rows available for Education Involvements;
2. Get a count of constituents in preparation of a mailing or solicitation based on Education involvements
3. See a list of constituents who have educational involvement data.

E.g. Find all constituents with an involvement type of Sport Clubs & Recreation between 2013 and 2023

You then need to set the prompts. (Prompts act as questions that help you to customize the information in a report to suit your own needs!)

Educational Involvement Information

Choose one of the following or leave blank to pull all Education Involvement Rows in the system

• Enter Value(s) for Involvement Type (Optional)

  • Allows users to select one or more Educational Involvement Types from the list

  • Leave this blank if you want to pull all codes or to pull by another prompt

  • E.g., Athletics, Fraternity/Sorority

    • OR Enter Value(s) for Involvement Name (Optional)

      • Allows users to select one or more Educational Involvement Names from the list

      • Leave this blank if you want to pull all codes or to pull by another prompt

      • E.g., Gamma Phi Beta, Michigan Daily
         

    • OR Enter Value(s) for Involvement Position (Optional)

      • Allows users to select one or more Educational Involvement Positions from the list

      • Leave this blank if you want to pull all codes or to pull by another prompt

      • E.g., Coordinator, Officer
         

    • OR Enter Value(s) for Involvement Award (Optional)

      • Allows users to select one or more Educational Involvement Awards from the list

Date Information

Choose a starting date and/or ending date below. Leave blank to pull for all years/dates. Choose only either one starting date (with no end date) or an end date (with no start date) to get all involvements with a cut off

• Enter Involvement Start Date

  • Choose a starting date for the educational involvement.

  • Leave blank to pull all rows independent of when the alumni was involved in the activity. The date entered will include all involvements that start either on or after the specified date. NOTE: Business Objects will not prevent you from typing an incorrect date. Double check your input or elect to use the calendar to the right of the text input area.

  • NOTE: While some dates (such as graduation dates) are standardized, involvement dates are not. Any date (as long as it is a real date and formatted correctly) should work.

  • E.g., 1/1/2021 or 01/01/2021

• Enter Involvement End Date

  • Choose an ending date for the educational involvement. 

  • Leave blank to pull all rows independent of when the alumni was involved in the activity. The date entered will include all involvements that end either on or after the specified date. NOTE: Business Objects will not prevent you from typing an incorrect date. Double check your input or elect to use the calendar to the right of the text input area.

  • NOTE: While some dates (such as graduation dates) are standardized, involvement dates are not. Any date (as long as it is a real date and formatted correctly) should work.

Report Tabs

There are 2 report tabs:

• Ed Involvement Summary

  • Shows counts of involvement rows (with duplicates by constituent if present) and counts of deduped constituents with the involvement codes selected.
     

• Involvement Details

  • Shows involvement and constituent row details.

  • Includes Constituent LookupID (LID), Full Name, and Degree
