How does a departmental administrator submit a request for a new course, or modify/delete a course using the CARF system?

Begin by finding and opening the Responses - CARF Team Copy spreadsheet in Google Drive (This spreadsheet has been shared with all members of the carf-users Mcommunity group). It is recommended to bookmark this spreadsheet when the link is provided. If you require access to this document or need to be added as a member of the carf-users group, contact CAEN.

Once you have the spreadsheet open, request a new course, a course modification, or deletion of a course by using special spreadsheet menu items under the CARF menu, as described below.

IMPORTANT: The first time you use any of the functions under the CARF menu, you will receive an Authorization Required notice from Google. This is normal and is simply the CARF system requesting permission from you to perform actions on your behalf (such as submitting a form, sending an email confirmation, and creating rows in a spreadsheet). If you see this window:

Click the Continue button. Select your @umich.edu account when prompted, as shown below:

Requesting a New Course

To request a new course, select Request >> New Course from the CARF menu at the top of the spreadsheet. A window will overlay the spreadsheet with a link to a form to submit the new course. After clicking the link, you will be prompted to enter all the required information for the new course:

A few seconds after the form is submitted, your new submission will appear on the All sheet:

Requesting a Course Modification

To modify a course, begin by finding the course you wish to modify in the spreadsheet. Data submitted prior to July 2017 was submitted via the legacy FileMaker system and can be found on the sheet labeled Historical Data - FileMaker Import. More recent submissions are found on the sheet labeled All:

Select the appropriate tab to begin searching for the course you wish to modify. Scroll the spreadsheet to the right until you see the column headings AB through AD, and select these columns:

With the columns selected, select Filter Views >> Create new temporary filter view from the Data menu:

When you create a new filter view, the spreadsheet will change to have a gray border, with green arrows above the columns AB through AD:

Select the green arrow corresponding to Home Department. A dialog will open asking which values you wish to include in your search:

Select Clear to uncheck the selected departments. Scroll until you find your department and select it from the list, or type the department name in the search box and then select it. For example:

This will show only past submissions for the selected department:

This will still include many courses, so filtering also by Catalog Number (column AD) is also recommended. The process is very similar: Click the green arrow next to Catalog Number, click Clear to clear all selections. Find the course number you wish to modify, and select it:

You should now only see previous submissions for the specific course you wish to modify:

Select the row corresponding to the most recent submission, and from the top menu select CARF >> Request >> Modification of Selected Course:

A window will overlay the spreadsheet with a link to a pre-filled form including the data from the selected row. Enter any additional required information and submit the form. It is important to note that some information that is now required may not have been included in the selected data. The form will not allow you to proceed unless you enter all required information. It will also enforce formatting requirements (such as length restrictions or text format) that may not have been strictly enforced previously.

A few seconds after the form is submitted, your requested modification will appear on the All sheet.

Requesting a Course Deletion

Begin by finding your course in the spreadsheet as described in the Requesting a Course Modification section above. Once your course is selected, from the top menu select CARF >> Request >> Deletion of Selected Course:

A window will overlay the spreadsheet with a link to a pre-filled form including the information for the selected course. It is important to note that some information that is now required may not have been included in the selected data. The form will not allow you to proceed unless you enter all required information. It will also enforce formatting requirements (such as length restrictions or text format) that may not have been strictly enforced previously.

A few seconds after the form is submitted, your requested deletion will appear on the All sheet:
