UMSN IT Zoom Best Practices Quick Start

 

 

  • Secure your Zoom meetings using one of the 3 ITS recommended methods

  • Use Zoom webinars when possible

We recommend using Zoom webinars instead of normal Zoom meetings when you have a large number of participants, or when participants don’t need to speak or be seen. Webinars are perfect for presentations, keynotes, panel discussions, and high profile meetings where you want to eliminate accidental participant disruptions to the meeting (like Zoom Bombings). Use the  U-M ITS Meeting vs. Webinar form to request a Zoom Webinar account.  

  • Properly staff support of your Zoom webinar or meeting

UMSN IT recommends that meeting & webinar hosts carefully assess the level of support needed for their Zoom meeting or webinar. Please consider how many staff you need to manage the following activities during your meeting or webinar:

  • Creating and managing meeting settings, invites, roles, recordings
  • Coordinating practice sessions prior to live meeting or webinar
  • Hosting and facilitating the meeting/webinar
  • Managing meeting/webinar logistics (i.e managing waiting room, monitor chat, answer technical questions)
  • Assisting meeting or webinar presenters, translators, and facilitators

  • Properly manage disruptive and unwanted participants

  • For a disruptive participant
  • Click Participants, hover over the disruptor's name, and click Mute.
  • -and/or-
  • Click Participants, hover over the disruptor's name, click More, click Stop Video.
  • For an unauthorized participant
  • Remove the disruptor from the Meeting by clicking Participants
  • Hover over the disruptor's name, click More
  • Click Remove.
  • Report incident to security@umich.edu and include as much of the following information as possible:
  • The email address of the host of the Zoom Meeting or Webinar
  • The meeting or webinar ID or URL
  • The date and time of the event
  • The exact time of the disruption
  • The display names of disruptors
  • The nature of the disruption (i.e., what did they do?)

  • Consult with UMSN IT when planning important events using Zoom
