OARS access request process
Issue
I want to submit an OARS access request before a person’s official start date.
Resolution
You can submit an OARS request ahead of a person’s start date, but there are important considerations:
- Verify the Department: When entering the request, verify that the person’s department is correct. If necessary, select the Pencil icon next to the department ID to update it. This ensures the request is routed to the appropriate approvers.
- Access may still not be available by the start date: Some systems do not allow for a person to be added until their start date or the following day. In addition, the person’s email mailbox may not yet be set up which limits the ability to share passwords. As a result:
- Submitting a request early does not guarantee that access will be active on the person’s start date.
- Requests submitted more than two weeks before the start date may be canceled.
- Sponsored individuals: If access must be processed before the person’s start date, consider sponsoring the individual. Sponsorship addresses most pre-arrival processing limitations, and access requests for sponsored individuals will not be deactivated solely because the person has not started.
- Unit transfers: Unit transfers generally do not have timing restrictions for being added to systems. However, coordinate with the Unit Liaisons (ULs) in the person’s current department to avoid conflicts with access they intend to remove.
- Employees transferring units should already have access to My LINC through their current position.
- Access to required training: Access to required training is generally unavailable until the person’s start date and must be requested separately through the ITS Service Center. This limitation does not typically apply to unit transfers because transferring employees should already have My LINC access.
